Policies
- Refund Policy: Colchester Parks & Recreation stands behind all of our community offerings. All programs, events and activities are self-funded and must cover all costs associated with the activity. With that in mind, we will gladly help all participants with any registration or refund requests to the best of our ability. A $15 cancelation fee will be charged for all refunds and credits requested by a participant.
- Program or activity refunds: Refund requests must be made in writing. Refunds will be given if requested at least two weeks prior to the start of the program. Any request made within two weeks of the start of the program will be issued as a credit to the participants' account for future use. Once the program has started, no refunds or credits will be issued unless the program is canceled by Colchester Recreation. Certain programs, including Day Camp and bus trips, may have different refund policies. Participants with extenuating circumstances may request a review of their case by providing written documentation of their situation to the Recreation Director.
The Day Camp refund policy is as follows:
- All refund requests must be made in writing to the Recreation Director.
- Medical requests can be made with a doctor’s note.
- We will do our best to trade camp weeks for you, if there are openings.
- Prior to May 15 you will receive a full refund.
- May 15 -June 1 you will receive a refund if we can fill your space at camp from the wait list. If there is no wait list, we will issue an account credit.
- After June 1 there will be no refunds or account credits unless we can fill your space at camp from the wait list.
- A $15 cancelation fee will be charged for all refunds and credits requested by a participant.
This policy is necessary to ensure our staff to camper ratios, to cover our expenses in hiring and training staff and purchasing supplies based on an expected number of campers.
- Reservation refunds: No refunds will be issued for reservation or rental fees paid to secure any date at a field, park or pavilion.
- Cancelation Policy: Programs may be canceled if the minimum number of registrations are not met. In the case of inclement weather, please call the Recreation Office at (860) 537-7297, or check the website. Emails are often sent to registered participants of each program to notify them of program cancelations.
- Insurance Information: We are unable to assume responsibility for injuries/accidents occurring at programs or on park facilities. Such insurance would make programs and user fees prohibitive.
- Low Enrollment Procedure: The Early Bird Gets the Worm! Don’t let a great program get canceled due to low enrollment! Register Early!
- Photo Permission: Participants permit the taking of photographs and videos of themselves and their children during activities for publication and use for promotional purposes unless otherwise stated.
- Inclusion Policy: Colchester Parks and Recreation recognizes that every person is unique and brings with them a wide range of skills and abilities. We continually strive to provide challenging experiences so that all can achieve their full potential. - Program Changes: Every effort has been made to ensure the accuracy of the information presented in this program guide. However, all courses, instructors, locations and fees described are subject to change without notice.
- Inability to Pay: If a hardship exists, the applicant may be granted a reduced or waived fee. Scholarship applications are available on the Forms and Documents Tab.
- Non-Resident Policy: There is a $5 non-resident fee for all Parks & Recreation programs and activities. This policy excludes bus trips.
- Waiting List: All registrations are accepted on a “first come, first served basis”, unless otherwise noted. Enrollment cannot be guaranteed. If your desired class is filled, you will be notified and placed on a waiting list. We will make every effort to accommodate those on the waiting list by adding classes if possible.
- Return Check Fee: All check(s) returned for nonsufficent funds (NSF) will be charges an additional $25 fee.
